Security settings govern access to the organisation. Data protection includes how long Chat content is kept. These two screens have separate permissions for viewing and managing settings.
Require two-factor authentication
Two-factor authentication adds a code generated by an authenticator app to the password. To require it in the organisation, you need permission to manage security and must already have enabled it on your own account.
- Open Settings → Organisation → Security.
- If prompted, use Enable on my account and finish setting up your authenticator before returning.
- Choose who is affected using Require for permanent members and Require for temporary users.
- Set the Enrolment window for existing members.
- Select Save.
Require for selected roles lets you target roles if you also have permission to manage them.
The window applies to existing members. New joiners must set up their authenticator before accessing data. A window of 0 days applies the requirement immediately: inform the people concerned before saving.
Choose how long Chat is kept
- Open Settings → Organisation → Data protection.
- Under Chat retention, choose the Retention period.
- Select Save, or Cancel to discard the change.
The period starts when the event is closed. Once it ends, messages, their files, revisions and read receipts are deleted.
Shortening this period may make older content eligible for deletion. Files copied into a task or log entry follow the rules of their destination.
