Task statuses

Statuses show how far a task has progressed. You can use your own vocabulary, such as “To prepare”, “Under review” and “Approved”, while linking it to steps the app understands.

You need permission to manage task statuses.

Prepare a list

  1. Open Settings → Checklists → Statuses.
  2. Choose an existing list, or select New list, enter its name and press Enter.
  3. Select Add in the relevant step.
  4. Enter the Status name, then select Create.

Repeat for the remaining statuses. A new status belongs to the step where you selected Add.

Give steps meaning

A status named “Approved” must therefore belong to Done to count as complete. Its colour alone is not enough.

To change its name, colour or Step, select Edit on its row, then Save. Enable Default status for new tasks to suggest that status for new tasks in this list. Each list has only one default.

Use the list

An event’s checklists use the list defined for that event. To check it, open the event → Settings → Checklists, then find Task statuses under Checklist settings. This choice can also be prepared in an event template.

If you have permission to manage these settings, choose the list and select Save. Switching lists matches existing tasks’ statuses by name; without an equivalent, a task falls back to its generic state. Check the tasks after this change.

In organisation settings, selecting a list only lets you edit it. It does not assign it to events.

Lists are shared. Renaming a status also affects checklists that use it. A list can only be deleted when it is empty and another list remains available.

To add a quantity or instructions to each task, use task fields.
