Understand EventOps

EventOps helps you prepare events and coordinate your teams on the day. You adapt the application to your work: the information to collect, the tools to use and the preparation to reuse from one event to the next.

Concerts, sports fixtures and exhibitions have different needs. Your organisation can define its own fields and prepare several templates for its different event formats.

A shared workspace for your organisation

Your organisation brings together members, teams, shared resources and settings. An event is a specific date, with its own information, participants and content.

For example, a concert venue can prepare a whole season in one organisation, then create an event for each concert.

Information that fits your work

A field is a piece of information to fill in: text, a number or a choice from a list, for example. You can add your own fields alongside those already provided by EventOps.

For concerts, you could create an “Artist” field and an “Expected attendance” field. For sports fixtures, you might prefer “Opponent” and “Competition”. These are examples you can create to suit your needs; they are not supplied automatically.

Fields are defined in Settings, in the section for the relevant item: Event, Run sheet or Checklists, for example. You can also adapt run sheet and task statuses to reflect how you work. These settings require the corresponding management permissions.

Fields are defined once in the organisation. In each event template, you choose which fields to display and require: “Artist” for your concerts, for example. Field defaults apply when you create an event without a template.

Preparation you can reuse

Templates save you from preparing the same things repeatedly.

  • An event template prepares information to request, suggested teams, modules and their settings.
  • A run sheet template prepares an operational running order to reuse.
  • A checklist template prepares a recurring task list.

For example, an “Evening concert” template can serve several dates. Each new event receives its own preparation, which you review and adapt to that date.

A timeline adds milestones around a reference time: for example, doors opening one hour before the show starts.

The tools your teams need

For each event, choose the modules to enable: run sheet, checklists, log, documents, chat… Teams can access the tools and information available to them to prepare their work and follow the event’s progress.

Start simply

You do not need to customise everything before getting started. Create your first event with Start from scratch, then prepare fields and templates as your needs become clearer.

After your first event, Reuse a past event also offers a starting point to reuse its preparation when creating another event.
