Event lifecycle

Status shows the stage of the event. It does not replace task or run sheet entry statuses.

Changing it requires permission to manage this event’s lifecycle. In the event menu, select Change status, then an offered status.

Understand the stages

StatusPurposePossible next step
DraftPrepare information and access before opening to authorized participants.Preparation or Cancelled
PreparationOrganize teams, instructions and checks.Ready or Cancelled
ReadyMark preparation as ready for launch.Live, back to Preparation or Cancelled
LiveFollow event operations.Done
DoneKeep results and history after closing. No return to a previous status
CancelledStop the event before it goes live, with a reason.Back to Preparation if needed

A draft remains available to its creator and people with permission to view or supervise all events. Other authorized participants gain access from Preparation, within their access period. The event does not become public.

Go live

Before Ready, check leads, access, times and required tasks. If settings require validation by a titular event lead, a deputy alone cannot make this transition.

After moving to Live, you cannot simply return to preparation. Review the choice before confirming.

Finish or cancel

A run sheet entry still in progress may prevent moving to Done. Address those entries before trying again. Closing may also trigger the end of temporary access according to its duration and applicable settings.

For Cancelled, enter the requested reason. It becomes part of history; make it clear for the people concerned.

Notifications may accompany these changes according to organization and event rules and recipient preferences. Do not assume every change alerts everyone through every channel.

Check automatic closing

In Settings → General information, check Automatic closure. With Manual closure, an authorized person must finish the event. When a delay is set, an event still Live can close automatically at the deadline calculated from its end, or its start when no end is provided.

Automatic closing also completes run sheet entries still in progress. This does not prove every action was performed: review history and discrepancies before your debrief.

After closing

A finished event remains available according to permissions. An exceptional correction, when offered and authorized, keeps a trace; it does not return the event to preparation.

Archiving moves an event out of active views; it is separate from status and deletion. To prepare another edition, use Reuse a past event.
