Run sheet fields

Run sheet fields add useful information to each entry. For a concert, a “Stage instructions” field can explain where to place a prop.

You need permission to manage run sheet fields.

Create the field

  1. Open Settings → Run sheet → Fields.
  2. Under Fields, select Add a field.
  3. Enter “Stage instructions” in Label, then choose Long text as the Type.
  4. Keep Shown by default enabled. Choose whether it should be Required when creating an entry.
  5. Select Create field.

Adapt fields to an event type

A field set groups display and required-entry choices. You can use stage instructions for concerts and different information for conferences.

  1. Open the Field sets tab, then New field set.
  2. Name it “Concert”, then select Save.
  3. Select the button with the field’s name to add it to the set.
  4. Adjust Shown and Required. Each change is saved immediately.
  5. Open the relevant event template or event settings, then Run sheet. Choose this set under Field sets and select Save.

The Field sets selector appears after at least one set has been created for this module. If you cannot see it, check that the set was saved in the organisation settings.

A field omitted from the set follows its definition’s defaults: leaving it out does not hide it. To hide it in this set, add it and turn off Shown. Remove from field set removes this particular setting, not the field or its values.

For a conference without stage instructions, create a “Conference” set, add “Stage instructions” and turn off Shown.

The Default set applies when no other is chosen. New fields join it automatically.

Check a run sheet

Open the run sheet of an event using this set and start a new entry. Check that “Stage instructions” is offered as intended. A field hidden during creation may remain visible on an entry that already holds a value.

Several templates and events can use the same set: consider that reach before changing it.
